Appointing a research assistant (RA) at CSDE
Eligibility
Affiliates may appoint a research assistant at CSDE rather than in the student’s academic home department if the funding for the RA is administered at CSDE.
Terms and conditions of employment
RA appointments are governed by the UAW contract http://www.washington.edu/admin/hr/laborrel/contracts/uaw/contract/preamble.html. This contract sets the general conditions of employment.
Deadlines
Generally, appointments for fall quarter should be made no later than April 1 for incoming students or June 1 for continuing students. For other quarters (winter, spring, summer) it should be at least 30 days prior to the first day of the appointment.1
Waiting until after a quarter begins to make an appointment delays the start of insurance coverage for the student until the first day of the month following the appointment. This is an important benefit for RAs provided by the University. Please be mindful that a late appointment could mean a period of no insurance coverage for the student. Late appointments may be referred to the faculty member’s home department for completion.
The process
Information you need to initiate an appointment:
- Candidate information (name, graduate student status2)
- Budget number to cover salary
- Budget number to cover tuition (if different) or tuition waiver arrangement (will need student ID number)

Special instructions for summer appointments: During the summer, graduate students may elect to not register for courses. Should the candidate you wish to appoint inform you that he or she will not register for summer quarter, the appointment is converted to a GSRA (Job Code 0854), which pays on an hourly basis published at http://www.grad.washington.edu/fellow/2009GRSA.pdf. The rate is calculated as follows:
Base monthly compensation at 50% x 3 months / 220 hours = hourly rate.
So, if the 50% monthly compensation would have been $1500,
the hourly rate is 1500 x 3 / 220 = 20.45/hr.
Once the appropriate letter and job description are prepared, we recommend that you email the candidate with a copy to Scott Sipes. The candidate may respond, copying Scott Sipes. Otherwise, ink signatures are required and should be delivered to Box 353412.
At the time the summer quarter appointment is accepted, please be prepared to designate a primary and backup approver for the electronic timesheet.
Extending an appointment
If you wish to extend an existing appointment, you may send email to the RA referring to the existing appointment and provide the following information: date of extended appointment, statement that all other terms, conditions and job description apply as governed by the UAW contract and UW policy. If the job description will be different, outline the changes. If the RA has changed status, a new letter should be created.

2Graduate student status determines the appointment you can make. Graduate students who have not yet been awarded a master degree are appointed as RA (Job Code 0847). Graduate students who have completed a master but have not yet advanced to PHD candidate status are appointed as PDRA1 (Job Code 0846). PhD candidates are appointed as PDRA2. The status held at the beginning of the quarter remains throughout the quarter. A student who advances status within the quarter automatically changes appointment at the beginning of the next quarter. Note that some departments have different pay rates for RAs
