*New* CSDE Researchers Conducting Human Subjects Research – UWFT Concerns Around Privacy

The Office of Research was made aware from several research teams that there are privacy concerns regarding research participant payments with FT go-live. To facilitate payment via check or Zelle, Workday Finance requires entry of the participant’s name, SSN/TIN, bank account numbers, and/or other private information to process payments of any amount. This is a concern for research projects that include participants who do not have SSN/TINs, bank accounts, or are reluctant to share this information. For researchers who do process a research subject payment via check or Zelle in Workday, the approval request will include the participant’s private information. It is important to note that the approval request will route broadly throughout the UW because of the way security roles are set up in Workday. Research teams have also reported that the Field Advance cash payment method is currently permitted only in exceptional circumstances. The Office of Research notified Procurement of these issues in the new Tu/Th Procurement Office Hours this week. The WD and Procurement team recommended having all affected researchers submit a UW Connect ticket to their local FT Shared Environment.

NEVERTHELESS, PLEASE TAKE THE FOLLOWING ACTION if these are concerns you are facing: If your research teams have experienced any issues with participant compensation, please request they submit a UW Connect ticket. It will be most helpful if they can be explicit about their experience and the impacts it is having or will have on research participants, studies, and programs.
